Natalia Mae Photography — Studio Policies
At Natalia Mae Photography, we are committed to providing every client with a professional, personalized photography experience. The following policies help us reserve the appropriate time and resources for each client while maintaining a consistent experience for everyone we serve.
Session Fees & Reservation Policy
A session fee is required to secure and reserve your photography session date and time. Your session is not considered officially booked until the required session fee has been received.
Because your selected date and time are reserved specifically for you, all session fees are non-refundable.
Session fees cover the photographer's time, planning, preparation, and reservation of your scheduled date. Unless specifically stated in your photography agreement or package description, session fees do not include prints, products, wall art, albums, or digital images.
Cancellation & Rescheduling Policy
We understand that schedules can change. If you need to reschedule your session, please contact Natalia Mae Photography as soon as possible.
When adequate notice is provided, we will make reasonable efforts to transfer your session to another available date. Rescheduled sessions are subject to studio and photographer availability.
Repeated rescheduling, last-minute cancellations, or failure to arrive for a scheduled session may result in the forfeiture of the session fee and may require a new session fee to reserve another date.
Session fees remain non-refundable, including when a client chooses to cancel rather than reschedule.
Inclement Weather Policy
For outdoor sessions, weather conditions are carefully monitored leading up to the scheduled session.
If weather conditions are unsafe or unsuitable for photography—including severe storms, heavy rain, lightning, dangerous temperatures, high winds, hazardous travel conditions, or other significant weather events—Natalia Mae Photography reserves the right to reschedule the session.
Weather-related decisions will be made as close to the scheduled session as reasonably possible based on current conditions, forecasts, location, and safety considerations.
If Natalia Mae Photography determines that a session needs to be postponed because of inclement weather, the session will be rescheduled to a mutually available date, and the existing session fee will be transferred to the rescheduled session.
Cloudy or overcast skies alone are generally not considered grounds for cancellation, as these conditions can often provide beautiful lighting for portraits.
Late Arrival Policy
Clients are encouraged to arrive on time and prepared for their scheduled session. Sessions are reserved for a specific period, and arriving late may reduce the amount of photography time available.
When possible, we will work within the remaining scheduled time. However, extending a session beyond its scheduled end time cannot be guaranteed.
No-Show Policy
Clients who do not arrive for their scheduled session and do not provide notice will be considered a no-show.
The session fee will be forfeited, and a new session fee may be required before another session date can be reserved.
Illness & Emergency Considerations
We understand that unexpected illnesses and emergencies happen. Please contact Natalia Mae Photography as soon as possible if an unforeseen circumstance prevents you from attending your session.
Rescheduling requests will be handled on a case-by-case basis and are subject to photographer availability.
Image Selection, Editing & Artistic Style
By booking Natalia Mae Photography, clients acknowledge that they are hiring the studio based on its established photographic and editing style.
Natalia Mae Photography maintains creative discretion regarding posing, lighting, image selection, cropping, retouching, color treatment, and final presentation.
Not every image captured during a session will be delivered. Images that are duplicates, test shots, out of focus, contain closed eyes, have unflattering expressions, or otherwise do not meet our professional standards may be removed during the selection process.
RAW or unedited image files are not provided.
Galleries & Digital Images
When digital images or an online gallery are included with a purchased collection or service, clients are responsible for downloading and safely backing up their final images within the timeframe provided.
Gallery availability and image-archiving periods may vary by session type. Natalia Mae Photography cannot guarantee indefinite storage of client images or galleries.
Print & Product Orders
Due to the custom nature of professional photographic products, all print, album, wall art, and other custom product orders are considered final once the order has been approved and submitted for production.
Clients are responsible for reviewing image selections, sizes, layouts, spelling, and other applicable details before final approval.
If a product arrives damaged or contains a verified professional lab or manufacturing defect, please contact Natalia Mae Photography promptly so the issue can be reviewed.
Copyright & Personal Use
All photographs created by Natalia Mae Photography are protected by copyright law and remain the intellectual property of Natalia Mae Photography unless otherwise agreed to in writing.
Clients who receive digital images are granted personal-use printing and sharing rights as outlined in their photography agreement. Images may not be sold, commercially reproduced, significantly altered, or used for commercial purposes without written permission.
Social Media & Image Sharing
We love seeing clients enjoy and share their portraits. When sharing images online, clients are asked not to apply filters, screenshots, heavy crops, AI modifications, or other edits that substantially change the photographer's finished work.
Image usage by Natalia Mae Photography for portfolio, website, social media, advertising, competitions, publications, or promotional purposes will be governed by the applicable photography agreement and/or model release.
Policy Acceptance
By paying a session fee and reserving a photography session with Natalia Mae Photography, the client acknowledges and agrees to the policies applicable to their session, in addition to the terms contained within their photography agreement.
Policies may be updated periodically to reflect changes in studio operations and services.
